The recommended cycle count frequency depends on the item’s value and turnover rate:

Controlled Substances: At least once per week (daily or every shift in high-volume practices)

Class A — High value / High turnover: Once per month

Class B — Medium turnover: Once per quarter

Class C — Low value / Low turnover: Every six months

Inventory Ally’s prioritized count lists help you stay on this schedule without relying on manual reminders.

Injectables should be tracked by the lowest unit sold, such as per milliliter, so the system can accurately deduct stock as they are administered. Consumables like needles and syringes are best tracked by the package (e.g., box of 100) rather than individual units, which keeps count lists manageable and reduces data entry errors.

Once an item is added to a patient record in Digitail, it is automatically pulled from stock, even if the client hasn’t physically collected it yet. This ensures your inventory counts stay accurate in real time and reduces the risk of double-dispensing.
